The Role
At Faro, the Workplace and Operations Specialist makes work feel easier for everyone else. You'll keep our San Diego office running smoothly, bring the team together through events and programs, and make sure every new hire gets a thoughtful start. Reporting to the Head of People, you'll be a familiar, trusted presence for employees at every level. You'll also help shape how this work gets done. You'd rather fix a process once than repeat a task forever, and you'll use AI, automation, and other tools to simplify recurring work. The goal isn't to make the job smaller. It's to free up your time for what matters most: the details, the judgment calls, and the personal touches that make people feel taken care of. Because so much of this role happens in person, you'll spend most of your week in our San Diego office, with flexibility based on business needs.
In essence, you'll run the day-to-day work and keep improving how it gets done, using AI and automation to make every part of the employee experience better, not just faster.
- Own the day-to-day experience of working from Faro's San Diego office, making sure the workplace is organized, welcoming, safe, well-stocked, and ready for whatever the day brings. You'll anticipate needs before they become problems and build simple systems that keep routine work running without constant attention.
- Own the relationships and operations that keep the workplace running, including facilities, property management, vendors, supplies, mail, building access, workspace setups, visitors, and workplace needs. You'll bring structure to recurring requests, stay ahead of issues, and make sure nothing gets lost between people or systems.
- Create the moments that bring Faro together, owning company events and employee programs from idea through execution, including All Hands, Lunch & Learns, off-sites, celebrations, recognition, and swag. You'll manage the details behind the scenes while continuously finding better ways to make recurring programs easier to run and better to experience.
- Make every new hire feel expected and ready from day one, owning the operational side of onboarding from offer acceptance through the first week. You'll bring together managers, IT, People, equipment, access, schedules, workspaces, and communications into an experience that feels seamless to the person joining.
- Keep employee transitions moving cleanly behind the scenes, coordinating changes and departures across People, IT, managers, and other teams so access, equipment, documentation, communications, and other details happen when they're supposed to.
- Turn recurring work into reliable systems. Across everything you own, you'll look for friction, unnecessary steps, and manual work that can be simplified, standardized, automated, or eliminated—and build processes that are easier for everyone to use.
- Be the person people trust to figure things out. You'll take on operational problems and company-wide projects that don't always come with a playbook, working across teams to bring structure to ambiguity, connect the right people, and get things across the finish line.
Requirements, Background, and Skills:
- 3+ years of relevant experience in workplace or office operations, employee experience, People/HR operations, administrative operations, events, hospitality, or a related environment.
- Experience independently owning workplace operations, events, vendors, employee programs, or other operational processes from planning through execution.
- Exceptional organization and attention to detail, with a track record of anticipating needs, following through, and keeping moving pieces from falling through the cracks.
- A systems mindset. You naturally look for ways to make recurring work simpler, more reliable, and less manual rather than accepting "that's how we've always done it."
- Comfortable using technology, AI, automation, and operational tools to improve workflows. You don't need to be a technical expert, but you should be curious, resourceful, and excited to learn new ways of working.
- Strong service orientation and interpersonal skills; you enjoy creating thoughtful experiences and are comfortable working with employees, executives, vendors, candidates, and visitors.
- Strong written and verbal communication skills and the judgment to handle confidential employee, financial, and business information appropriately.
- Resourceful and proactive, with the ability to solve problems independently, exercise good judgment, and operate effectively when there isn't an established playbook.
- Comfortable working in a fast-moving, growing company where priorities evolve, processes aren't always fully built, and being willing to jump in is part of the job.
- Able to work predominantly from Faro's Sorrento Valley office (with flexibility)
